Formula and assumptions

Service per km = service cost ÷ kilometres between services. Overhaul per km = overhaul cost ÷ kilometres between overhauls. Repairs per km = repairs per year ÷ (12 × kilometres per month). Other per km = other per month ÷ kilometres per month. Maintenance cost per km is the sum; per month = per km × kilometres per month; per year = per month × 12.

  • Routine service and major overhaul are spread by distance: cost divided by the kilometres between them.
  • Repairs and spares (entered per year) and other maintenance (entered per month) are spread over the kilometres run in that time. A vehicle that runs few kilometres will show a high cost per km.
  • Every cost left blank counts as zero. The figures are the amounts you enter; the tool knows no market rates, and any pre-filled figures are examples.
  • Tyres are not included; use the Tyre Cost per Km Calculator. Depreciation, insurance, fuel and GST input credit are not included.
  • Money is rounded to 2 decimal places (half up), each from the exact figure, so rounded lines can differ from the total by a paisa. Shares are rounded to 1 decimal place and may not add to exactly 100%.

Frequently asked questions

Why is the repairs cost per km higher when the vehicle runs less?

Repairs and spares are entered as a yearly amount, so they are spread over the kilometres run in the year. If the vehicle runs fewer kilometres, the same spending is shared over fewer.

Can I leave a cost blank?

Yes. A blank cost counts as zero. If you enter a service or overhaul cost, enter how many kilometres apart they are.

Where do I use the answer?

Enter the maintenance cost per km in the Cost per Kilometre Calculator, or in the tyres and maintenance field of the Trip Cost & Profit Calculator. Tyres are separate: use the Tyre Cost per Km Calculator for them.

Are the pre-filled numbers real rates?

No. They are examples so you can see how the tool works. Replace every figure with your own.

What does this not include?

Tyres, depreciation, insurance, fuel, and GST input credit. It uses only the amounts you enter.
